Welcome to IUGG2003 at Sapporo!

Companies, publishers, scientific societies, government agencies, institutes and departments are invited to exhibit their products and services at the XXIII General Assembly of IUGG at Sapporo, Japan.

More than 5,000 researchers are expected to attend the General Assembly, which will address a wide range of topics in the field of Earth and planetary sciences.

EXHIBIT DAYS AND LOCATION

Installation - June 30 for Week 1; July 7 for Week 2
Exhibit Days (Week 1) - July 1 (Tue) to July 4 (Fri)
Exhibit Days (Week 2) - July 7 (Mon) to July 10 (Thu)
Dismantling - July 4/5 for Week 1; July 10 for Week 2

Exhibits will be located at the Royton Sapporo Convention Hall.

BOOTH TYPES AND RATES:

  for one week for two weeks
Type A with booth setup, 9 sq.m. 290,000 JPY 430,000 JPY
     
Type B w/out booth setup, 9 sq.m. 215,000 JPY 355,000 JPY
     
Type C with back panel, 4 sq.m. 140,000 JPY 190,000 JPY

There are no discount rates at the moment.

Deadline for reservation is March 31, 2003. The invoice will be sent upon receiving the reservation form.

Rental rates include:
1 registration package (registration, abstract volumes, program)
power supply

Additional registrations may be purchased at the regular rates. Each member of the booth staff has to be registered for the General Assembly.

ADVERTISEMENTS

Exhibitors are welcome to advertise in the Program Book at the following sizes:

Full page: A4
Half page: A5 landscape
Quarter page: A6 portrait

The technical requirements for submission and the rates will be announced soon.

RESERVATION, PAYMENT AND CANCELLATION

After receiving the application form from the exhibitor and approving its contents, IUGG Exhibition at ICS will send an invoice for the exhibition fee. The exhibitor shall make payment in full by bank transfer to the designated account by the specified date, the bank transfer charge payable by the exhibitor.

All cancellations must be made in writing and refunds will be based on the following schedule:

On or before March 31, 2003: 50%
On or after April 1, 2003: no refund

LIABILITY AND INSURANCE

Security guards will be furnished in the exhibit hall on a 24-hour basis, but the furnishing of such guards shall not be deemed to increase the liability of the LOC. The LOC shall not be held responsible for the loss of any material by any cause or usage. The exhibitor will exercise normal precautions to discourage loss due to theft or any other cause. The LOC will exercise reasonable care for the protection of the exhibitor's materials and displays. However, the exhibitor expressly releases the foregoing named from any and all claims for such loss,damage or injury in the absence of negligence. Exhibitors desiring to carry insurance will do so at their own expense. In the event the meeting/exhibition is canceled, the liability of the LOC shall be limited to the money paid by the exhibitor for exhibit booth rental, less a proportionate share of all expenses incurred by the LOC for the exhibition.

HOUSING

Exhibitors are responsible for making their own hotel and travel arrangements. Hotel information and forms will be provided to all confirmed exhibitors.
