Information for Session Chairs

Thank you for agreeing to chair an oral or poster session at IUGG2003. Here is some information to help you handle your session.

For oral sessions:

- You will be responsible for the time keeping of the session. Please do your best to keep the session on time because there are often other scheduled events that people need to attend after your session.

- There will be a bell for you to ring to let the speaker know about the time. Since the lengths of talks differ for each session, we will leave it to your judgment how to time the bells. Typically,

  • 1 ring - 5 minutes before end of presentation
    Presentations should end at this time to allow for questions
  • 2 rings - 3 minutes before end of presentation.
    Stand up to put pressure on speaker to finish up if he/she is still talking
  • 3 rings - 1 minute before end of presentation.
    Absolute end to allow time for the changeover to the next speaker

- At the beginning of the session, please explain the timing of the bells.

- Please announce the title and authors previous to each talk

- Please handle pinning the microphone onto the speaker

- There will be a student in the room to help with logistics but please help the speaker, especially if he is using some special equipment, such as a video.

- Please come to your room 15 minutes before the session to familiarize yourself with the set up and equipment.

For Poster Sessions

- Please be at the poster session location (Site D, Sapporo Media Park) at 08:00 to 08:30 on the day of the poster session to help presenters put up their posters.

- There will likely be cancellations and possible additions, so please help with any re-arranging of poster space that may be necessary. There will be a Poster Check-In Desk that will be keeping track of the locations for each poster.

- Each poster session has core times when presenters are suppose to be at their posters. For some sessions, this is all at the same time, for others the presenters can choose what time they will be at their posters. At the Poster Check-in Desk, there will be a form for the presenter to write what time they will be present at their poster.
